Scheduling, Payment and Cancellation Policy
Making a Reservation
To reserve half the studio (Teaching Members only):
Contact Studio Coordinator Mark Josefsberg (917-709-4648 or email), with your request. Your call will be returned within 48 hours (except for calls placed after Friday 10 pm which may not be returned until Monday morning) to confirm or deny your request.
To reserve the whole studio (Teaching Member or Associate Member):
Contact Office Manager Krissa Cavouras (212-633-2229 or email) with your request. Your reservation will be confimed via e-mail and contract within 48 hours (except for requests made after 6pm on Friday which will not be confirmed until Monday morning).
Because the calendar is updated at the end of the day (except Saturday and Sunday), requests made and confirmed, either by email or phone, during the current day or during the weekend will not yet appear on the calendar. There is the possibility that a time slot that appeared available had already been requested by another party earlier in the day. If this is the case, you will get a call within 48 hours letting you know that your request could not be granted. REMEMBER, your reservation is not confirmed until you hear back from the Studio Coordinator or Office Manager.
Studio Rental Rates & Polices
Open Studio Wednesdays: $7.50 a lesson TEACHING MEMBERS ONLY
Half Studio Rental for Private/Semi-Private lesson: $13.50 a lesson TEACHING MEMBERS ONLY
Whole Studio Reservation for Teaching Members: $30.00 an hour
Whole Studio Reservation for related classes/practices/meetings by Associate Members: $35.00 an hour
Access Card Deposit: $50.00 Refundable/ For weekend use only
Open Studio
How to Use Open Studio: The Open Studio Program - started in 2001 - is in effect every Wednesday from 2:45pm-9:30pm. Teaching members may teach private lessons on a drop-in basis. Please be aware that when multiple teachers are using the space, there may be a short wait for available space or for a free table. You MUST sign in and note the number of lessons taught for Open Studio.
Payment: Teachers will be billed for their noted open studio usage at the end of each calendar month for all lessons noted on the sign-in sheet, as well as any lessons listed on the calendar. Teachers will receive an email from the Office Manager at the end of each calendar month with their monthly usage noted on the invoice, and are responsible for paying promptly with 15 days. Late payment will result in a 10% fine being applied to the balance.
Half Studio
Making a Reservation: Private, or Semi-Private lessons can be reserved on a week-to-week basis for up to 30 days in advance. After checking the calendar for availability, call the studio coordinator with your request. Once your reservation is confirmed by the Studio Coordinator, you will be responsible for paying the fee unless you cancel 48 hours in advance.
Payment: Teachers will be billed at the end of each calendar month for any rentals listed on the calendar, as well as any lessons noted on the Open Studio sign-up sheet. Teachers will receive an email from the Office Manager at the end of each calendar month with their monthly usage noted on the invoice, and are responsible for paying promptly with 15 days. Late payment will result in a 10% fine being applied to the balance.
Whole Studio
Making a Reservation: Group lessons, lectures, and meetings are handled on a contractual basis for either Teaching Members OR Associate Members. After checking the calendar for availability, contact the office manager with your request; please be aware that the Office Manager is only in the office on Mondays, Wednesdays and Fridays, and email is the most effective way to communicate your reservation request.
Contract & Payment: If the space available, the office manager will prepare a contract for you and deliver it via email (attached as a PDF). Your reservation is confirmed when a signed contract and a check for 50% of the entire rental fee is received by ACAT. The remaining 50% of the fee is due one week before the event/first day of use.
Cancellation fee: for group lessons, lectures, or meetings and classes arranged by a contract the user may cancel: (i) up to 28 days prior to the start date with a 10% cancellation fee ii) between 28 and 14 days prior to the start date with a 20% cancellation fee; (ii) between 14 days and 7 days prior to the event with a 35% cancellation fee; (iii) between 7 days and 24 hours of the event 50% cancellation fee; or (iv) within 24 hours the user must pay for 100% of the rental charges.
15-minute grace period: All Whole Studio reservations on the calendar will have an minimum 15-minute grace period built in at the start of the reservation. The fee for this period is waived for Teaching Members.
Studio Etiquette and Maintenance Your cooperation in adhering to the studio policies and your assistance in maintaining the condition and appearance of the studio allow us to continue to offer teaching and convening space to our members and associate members at very affordable rates.
